Frequently Asked Questions

  1. What do I do if I don't have a WebAdvisor user name or password, or if they don't work?

    a) Go to the main menu for WebAdvisor and click on the WebAdvisor for Faculty menu. Under the Personal Profile options (left side of screen), click on either What's My User ID? or What's My Password? Follow the resulting directions for finding your ID or resetting your password.

    b) Call the District Office Help Desk 1-925-229-1000 x1234      Hours: 6am - 12Midnight

    c) Submit an electronic "trouble ticket" by selecting Submit an electronic trouble ticket from the bottom of the WebAdvisor login screen. You will be prompted for some information. If you check the faculty button, you will receive a response within one business day.

    d) CCC Faculty: If the problem is your password, call the Staff Development Office during its open hours and ask if your password can be re-set.
    Hours: Monday - Wednesday  9am - 4pm     1-510-235-7800 x4309

  2. What happens if I click on "Password Hint," but it doesn't help me remember my password?

If the Password Hint does not help, you will need to click on Reset My Password. A new password will be emailed to you. If you do not have a college email address or a preferred one on file with District HR (or need to change your email address), you should contact District Human Resources Office to have it entered.

  3. When is WebAdvisor available for grade entry?

    WebAdvisor is available 24x7 except:
    a) Sunday mornings, 12:01am to 8:00am, when files are re-sized.
    b) During occasional unscheduled downtime to resolve system problems or to apply system upgrades.

  4. When will the system time out? How long do I have to enter grades for a course?

The system will timeout after 30 minutes of non-use (not hitting the Submit button). Therefore, you have 30 minutes per class to enter grades before it times out. This should give you enough time to enter your grades for a course. If you have to interrupt your grade entry, then just hit the Submit button to ensure that the grades you have entered are recorded. You may come back to this section later to complete grade entry (as long as it is before 11pm on the day you started grade entry).

Positive attendance hour entry has a 30 minute timeout as well.

These time limits for for security purposes. If a user forgets to log off, an unauthorized user may gain access to the system.

  5. How do I know if my grades have been successfully submitted?

You will receive a confirmation message saying "Your process is complete" after clicking Submit. (You will receive an error message if an error is made.) How can you verify that the grades are there? Return to the main menu and click on Grading and then select the same class section.

  6. What if my course has a "Student Choice" grading option and a student elected to take the class Credit/No Credit?

Enter a letter grade in WebAdvisor for the student as if you did not know that he/she chose the CR/NC option. When WebAdvisor performs its nightly update, the letter grade will automatically be converted to either CR or NC.

  7. Where do I get the forms for Incomplete Grade, Grade Omission, etc?

You can pick up the printed forms from Admissions and Records Office or the Staff Development Office, or download them from the CCC Staff Development Training page or the District server at http://www.4cd.net/technology/

  8. What happens if I'm entering grades from home and I get disconnected?

If you are dialed into the Internet (e.g. from home) and the line drops, you will not see any messages from WebAdvisor. Any data entered since the last submission is likely lost. Check the section grading roster when your connection is re-established, and resume/repeat grade entry as necessary.

  9. What do I do if I can't connect to WebAdvisor from the CCC homepage?

Try accessing WebAdvisor from the District http://www.4cd.net, or from one of the other colleges: http://www.dvc.edu or http://www.losmedanos.net

  10. Do I NEED to submit a signed copy of my grades and positive attendance rosters?

Yes. State regulations require Admissions and Records to maintain a file of PRINTED official grade rosters. The positive attendance rosters are required by the State Dept. of Finance. It is a good idea to keep printed copies for your own files, too.
